1. About Personal Information

Japan Center for Engagement and Remedy on Business and Human Rights (hereinafter "JaCER") appropriately manages and uses information on specific individuals (hereinafter "personal information") acquired in the course of our business activities in compliance with laws, regulations, and guidelines regarding personal information protection.
JaCER designates information subject to personal information protection collected in the course of our business activities as the name, address, telephone number, e-mail address, place of employment, and other descriptors obtained in writing and through electronic mediums and our Website by which specific individuals can be identified (personal information includes information by which individuals cannot be identified but that can be easily collated with other information to enable identification), and information that contains personal identification codes.

2. Purposes for Use of Personal Information

a.JaCER uses personal information obtained from membership applications, attendance reports for various meetings, and grievance reports, etc. within the scope of our businesses established by the Articles of Incorporation for the following purposes.

(1) For sending JaCER's newsletter, reports, and other notices
(2) For notification, operation and management of JaCER's general meeting for employees and board of directors meeting, etc. ※1
(3) For notification, operation and management of seminars, lecture meetings, and events organized by JaCER ※1
(4) For operation and management of JaCER's Website
(5) For provision and distribution of various materials prepared by JaCER (bulletins, reports, standards, etc.)
(6) For response to consultation requests and complaints/reports regarding grievance redress sent to JaCER
(7) For notification and sending notices of various matters, questionnaires, etc. from JaCER
(8) For examination and notification regarding operation of other matters implemented by JaCER

b.JaCER uses personal information acquired at the time of registration for participation in seminars, lecture meetings, and events, etc. organized by JaCER for the following purposes.

(1) For confirming attendance, sending attendance tickets and invoices, etc. and operation and management associated with reception work for seminars, lecture meetings, and events. ※2
(2) For next-time notification and notification of seminars, lecture meetings, and events, etc. organized by JaCER

3. Cookies and Web Beacons

JaCER's Website (hereinafter the "Website") may use cookies and Web beacons for enhanced provision of services to persons accessing the Website. Cookies enable provision of information that is more personally relevant to persons who have accessed the Website and are revisiting the site.

Cookies are small packets of information sent to the user's browser so that the Web server can identify the user's computer but cannot identify specific individuals unless you input personal information.

4. Access Log

Information on persons who access the Website is recorded in the access log.

Access logs are records of user information that include IP addresses, types of browsers, and access dates and times. This information is utilized for Website maintenance and management, statistical analysis of how users interact with Websites, and site enhancement. JaCER uses the information obtained from access logs only within the scope of established purposes for use of personal information.

JaCER also uses Google's Google Analytics to collect, record, and analyze browsing history on our Website. Google Analytics uses cookies to collect information that does not include information that can identify a specific individual. The disable setting for Google Analytics can be downloaded from Google's Opt-out Browser Add-on download page. Download and install "Google Analytics Opt-out Browser Add-on." You can disable Google Analytics by changing the browser's Add-on setting. Information collected by Google is managed in conformance with Google's Privacy Policy.

5. Shared Use of Personal Information

JaCER shares personal data within the scope stated below to achieve the purposes for use stated in “2.” above.

Name, address, telephone number, e-mail address, the other party's company name, and a summary of the grievance
(2) Scope of parties sharing use
Company concerned in the grievance report
(3)Purpose for use by parties sharing use
For response to consultation requests and reports regarding grievance redress received by JaCER

6. Provision of Personal Information to Third Parties

a.JaCER does not provide the personal information we collect to third parties, except in any of the following cases.
(1) When the individual's prior consent is obtained
(2) When provision is judged to be necessary based on laws and regulations
(3) When it is necessary to protect the life, body, or assets of an individual and the individual's consent cannot be obtained
(4) When it is particularly necessary to improve public hygiene or promote the healthy growth of children and the individual's consent cannot be obtained
(5) When it is necessary to cooperate with a national organ or local public organization or a person entrusted by such an authority in the execution of duties pursuant to laws and regulations and when obtaining the consent of the individual is likely to impede the execution of the duties
In providing personal information to third parties in accordance with the above cases, JaCER takes necessary measures including restriction of purposes for use of the personal information as it becomes necessary.

b.JaCER uses personal information acquired at the time of registration for participation in seminars, lecture meetings, and events, etc. organized by JaCER only for the purposes stated in b. of 2. Purposes for Use of Personal Information and does not provide the personal information to third parties.

7. Management of Personal Information

JaCER strictly manages the personal information we acquire within the scope of purposes for use stated above and implements security measures to prevent unauthorized access, loss, destruction, damage, alteration, and leakage, etc. of the personal information, and makes every effort to ensure safety regarding management of personal information.

When handling of personal information is consigned to an external organization, JaCER concludes the necessary agreement for compliance with safety management measures by the external organization (contractor) and appropriately supervises handling of the personal information. Further, although at the present time contractors and their countries of residence have not yet been specified, JaCER may consign and provide personal information to contractors in countries other than Japan in order to enable timely and appropriate selection of business operators to whom work is consigned. In such cases, JaCER may begin consignment of handling of personal information to a new contractor without re-obtaining consent from the individual for provision of personal information.

8. Disclosure, Correction, and Suspension of Use, etc. of Personal Information

JaCER will respond to requests by individuals for disclosure, correction, and suspension of use, etc. of their personal information retained by JaCER within a reasonable period of time.

9. Personal Information Management System

JaCER appoints the representative director as the supervisory manager of the management system for personal information protection.
